CANCELLATION POLICY

Private Bookings

We understand that sometimes our clients need to cancel their scheduled appointment. Although when you forget to cancel your appointment, without giving us enough notice, we miss the opportunity to fill that appointment time. We strictly adhere to these policies for the benefit of all our clients and appreciate your understanding. Our cancellation policy is listed below. Thank you for taking the time to review and support our policy criteria.

 At the time of booking, you will be asked (if a verbal booking, over the phone, if an email booking then by email ) to secure your reservation by either making a bank transfer and sending us the confirmation or make the relevant purchase on our website.  Only bookings paid in full at the time of booking will be considered confirmed.

As a courtesy, we will issue a reminder the day before your appointment as we know how easy it is to forget an appointment booked months in advance. It remains your responsibility to remember your appointment date and time to avoid arriving late or to miss appointments. This helps us provide better service to our Clients by providing enough notice to avoid cancellation fees.

Cancellation made before 1500 the day PRIOR to the scheduled appointment will incur no additional cost to the client.

Cancellation made after 1500 the day prior to the scheduled appointment will be charged 50% of the service fee.

We consider it a ‘NO SHOW’ if you cancel 3 hours or less before your scheduled appointment and you will be charged 100% of the service fee.  In this case, you will not be entitled to reschedule instead it will be considered a new booking.

 Appointments made after 15:00 the day prior that are then canceled will result in a charge of 100% of the service fee.

 For appointments on a Monday, the cancellation notice cut-off time is 1500 the Friday prior.

Otherwise, there will be a cancellation fee incurred of 50%.

If you wish to reschedule an appointment. You may do so once without penalty up until 3 hours before your scheduled appointment. Otherwise, we will consider it a cancellation and the policy above applies.

Note that arriving late will shorten the time for your booking thus lessening its effectiveness and your enjoyment.  Your session will end at the scheduled time, allowing the next appointment to start on time.

Gift Vouchers and Packages

You may purchase gift vouchers for your own use or to give away for one or multiple group activities or a package of 6 sessions.  The gift vouchers are valid for the number of uses purchased, are non-refundable, are valid for 3 months from the date of purchase, and are non-transferable.  Simply make the purchase online and then indicate to us (info@red-doors.com or call (852) 2110 0152)  the name and address of the recipient and we will post them a hard copy of the voucher, or if you prefer we will send it to them and thus require your postal details. 

Should you wish to purchase a package of 6 group sessions. The cost is HK$1500 for 6 sessions, representing a saving of $50 per session. You may use these for yourself or bring your friends to attend regularly scheduled group events such as yoga classes or gong relaxations.  They are valid for three months from the date of purchase and are non-transferable or refundable.   We will not extend their validity period.

Unfortunately, we are unable to process any returns or reimburse any payment transactions on gift certificates/vouchers even if lost, misplaced, or stolen. Gift certificates/vouchers cannot be redeemed as cash and they must be mentioned when making your appointment.

Cancellation and Rescheduling of Gift vouchers for private bookings adhere to the private booking cancellation policy above.

Regularly Scheduled Group Events (yoga classes, gong relaxations, etc)

If you are unable to attend a group event that you have registered for you may call (852) 2110 0152  or email info@red-doors.com to reschedule up until 1500 or two hours before on the day of the event at no penalty.  You may find a replacement or you may reschedule for a similarly priced event once within a period of six weeks from the registered event.  Otherwise, you will forfeit the fee and if paid by a package, it will be deducted from your total.


Rescheduling

Rescheduled bookings must be made within six weeks of the original booking. We will not offer further extensions.

Workshops / Events

We offer a variety of special interest workshops.   Early bird discounts and special offers such as two for one are usually available.  To secure your place we require payment in full in advance otherwise we cannot always guarantee your spot as space is oftentimes limited.  We understand that sometimes it is not possible to pay the full fee for an event and in special cases, we will offer payment through installment plans by request.

Upon booking a course or event, you agree to pay the cancellation fee if you should cancel. The cancellation fee increases as the date of the course or event approaches and the amount you are liable for depends on how late you cancel.

Should you cancel your participation in a workshop more than one (1) month prior to the event we will retain 20% of the total enrollment fee as a handling fee.

Should you cancel your participation in a workshop between one (1) month and 14 days prior you will forfeit 50% of your booking.

Should you cancel within 14 days prior to the start workshop you will forfeit 75% of the total fee.  And if you do not show up, 100% of the total fee.

Cancellation days are calculated as the number of days before the start date of the course of the event to the day that you cancel.

Refunds will be made within 30 days of the last day of the workshop/event.

All cancellations must be made in writing by email and only come into effect once we acknowledge receiving it.

Rather than forfeit your payments, you are free to find a suitable substitute in your place.

 Cancellation Policy for Studio Booking

Booking of studio space is governed by the following guidelines.

Time of Booking and Deposit
If the booking is made 1 (one) month or more prior to the date of booking 50% deposit is required to secure the booking.  Otherwise, the booking is not guaranteed.  The remainder is due 14 days prior to the commencement of the booking.

Should you book less than one (1) month prior to the date of hire 100% of the booking fee is required to secure the booking. 

Your booking is confirmed only when we receive confirmation of payment. Note that our prices may change without notice.  Sometimes inquiries are made and months later a booking is finalized we cannot guarantee outdated quotations.  The price paid is the current price at the time of confirming the booking, not the historical price.

Should there be any additional charges, say for damage/loss to the studio property, there will be an additional invoice issued to represent actual replacement/repair/cleaning charges due within 30 days of the hire.

Cancellation
Should you cancel your booking….
> 30 days prior to the booking date we will refund 50% of your deposit as an administration fee.
Between 30-15 days prior to the event you will forfeit the entire deposit.
Less than 14 days prior to the event, a 75% cancellation fee will be charged on the full value of the quotation.
< 7 days prior to the event,  we will charge you a cancellation fee equivalent to 100% of the full booking fee.

Verbal cancellations will not be accepted.

Dispute Resolution: 
Any dispute, controversy or claim arising out of or relating to this cancellation policy, including the formation, interpretation, breach or termination thereof, including whether the claims asserted are arbitable, will be referred to and finally determined by arbitration in accordance with the laws of Hong Kong. The tribunal will consist of one arbitrator. The place of arbitration will be Hong Kong. The language to be used in the arbitral proceedings will be English. Judgment upon the award rendered by the arbitrator(s) may be entered in any court having jurisdiction thereof.

Cancellation Policy for Weather

 If the T8 signal or above is hoisted during opening hours, the studio will close 30 minutes after the warning signal is hoisted.  The studio will reopen two hours after the signal is lowered.

In the case of Amber and Red rainstorm warnings, the studio opening hours are unaffected.  If the Black rainstorm warning is hoisted during opening hours, the studio remains open.  If it is hoisted before opening hours, the studio will open 2 (two) hours after it is lowered.

Participants should consider the actual weather and traffic conditions when deciding whether or not to attend an event. If in doubt call the studio (2110 0152) or send an email info@red-doors.com

If an event has to be canceled due to inclement weather or due to unforeseen and unavoidable venue maintenance or repairs, our staff will notify the participants of the subsequent arrangement as soon as possible. If the event cannot be rescheduled you will be given credit equivalent to the canceled event that must be used within six (6) weeks of the cancellation.

In the event of an activity being canceled due to insufficient enrolment, participants will be notified seven days before the activity date.

Studio Guidelines

Just like any home, we have house rules to ensure a tranquil and restorative experience for all.

Arrival
Please arrive at least 15 minutes prior to your scheduled appointment in order to unwind and settle.  Leave your shoes at the door.  We will do our best to accommodate late arrivals. However, the length of service may be adjusted so as to not interrupt the scheduled appointments of other Clients. The full price of scheduled services will apply, so please plan accordingly. If you come early relax and enjoy a cup of complimentary tea, coffee, or lemon water available in our breakout area. Leave used cups in the sink or better still wash them and leave them on the rack to dry.

Cell Phones + Personal Belongings
Please turn cell phones off and leave them, bags, and personal effects on the shelves prior to entering the studio. Red Doors Studio is not responsible for lost or misplaced items. For group events, we lock the external door once the session is in progress.  Phones are not allowed in the studio during group events.

For Yoga Class

  • If you are new and attending your first yoga class you will need to complete a waiver prior to the class.

  • Consult your physician before beginning any yoga practice.

  • Share with the instructor if you have any medical conditions including injuries, pregnancy, or special medications that might require special consideration.

  • Plan to stay through the end of the class. Leaving early is disruptive to your classmates.

  • If you must eat before your yoga practice, please make sure that it is small and light. An empty stomach is preferred and keep hydrated.

  • Listen to your body and do not hesitate to ask your instructor for clarification.

Inside The Studio

  • Please, no shoes, food, or personal effects including phones. Photography allowed prior to the start of class when there is no one in the room and likewise upon completion of the class.

  • Only covered containers for liquids are allowed in the studio.

  • Please respect the privacy and serenity of others by keeping your voices low and walk softly to your mat.

  • Change your clothes prior to entering.  You may use the toilets or one of the free practitioner rooms to do so.

    Please return all mats, neatly folded blankets, eye bags, and other props to their designated storage space when done.  If you find any item soiled or damaged please bring it to our attention.

Responsibility
You are responsible for your own well-being.  The studio offers a variety of experiences to enhance, elevate and rejuvenate.  If at any time you feel unwell or uncomfortable inform the facilitator immediately.  You are at liberty to leave the studio quietly and sit in the breakout room.  Likewise, the facilitator may exclude a Client with obvious signs and symptoms like fever, respiratory tract symptoms (e.g. cough, running nose, sore throat), conjunctivitis, skin rashes, skin damage, etc. from participating in the session.

Prices and services are subject to change without notice. We will do our best to keep our clients up to date on any changes that may occur and encourage all clients to inquire about pricing and available services when booking your appointment.
